Clinical trial software for principal scientists at startups

You wrote the protocol, you know the endpoint, and now someone has to turn it into forms and data. Capture drafts the study from your protocol, lets you review it, and exports clean data with a dictionary. Build free first.

What a principal scientist needs from trial software

  • The protocol and the data live in the same head: you decide what is measured, when and how it is derived. The software should make those decisions visible and reviewable, not bury them with a vendor.
  • Endpoints as fields, not afterthoughts: each primary and key secondary endpoint should map to named fields with units, windows and derived values written down before the first participant.
  • Fast iteration before commitment: you can test the full study, enter sample data and look at the export in a free sandbox before signing with anyone.
  • Evidence your regulators and investors can inspect: field-level audit trail, 21 CFR Part 11 compliant controls and exportable data with a data dictionary.
  • Staying in control while a CRO or contractor helps: roles keep people on the work they should see, and the study is yours to export.

Why this role is different

The scientist is usually the one who has to make the study real

At a small company the person who understands the biology often ends up owning the first clinical study too. Titles vary: principal scientist, head of translational science, director of clinical science. The tasks are similar. You turn a hypothesis into a protocol, defend the endpoints, supervise the clinical sites and later explain the data. A first-time sponsor may be handed a CRO quote that includes database build, validation and data management, with timelines that start after contract. That is a common situation, not a rule, and sometimes the right answer. But a scientist who can build and test the database in a sandbox first knows what to ask for, and can compare quotes against a working draft.

The place scientists lose most time is the translation from protocol to case report form. Every endpoint has a measurement method, a time window and an analysis rule. A mismatch (a lab collected in the wrong unit, a scale missing a component, a date missing) is found at database lock if it is not found at build. Capture reads a protocol (PDF, DOCX or DOC) and drafts the visit schedule and forms. Nothing is saved without human review, and AI drafting works only on draft forms. Use it as a first pass on the schedule of assessments, then spend your time on the part only you can do: checking that each endpoint is measurable as written. See protocol to study setup and schedule of assessments builder.

Once forms exist, the key control is the edit check. Range high, range low and custom value rules raise an automatic query when a site enters a value that breaks the rule, with a priority you set. That is the way a scientist encodes scientific plausibility: a body weight that cannot be real, a dose outside the escalation plan, an end date before a start date. Calculated fields (BMI, BSA, MAP, eGFR, creatinine clearance, QTc by Bazett or Fridericia, age from date of birth, and time between two date-times) are shown read-only during entry, so derived values do not depend on a site calculator. Forms move from draft to approved and are locked for live use, so the version your statistician and your regulator see is the one that collected the data.

The first conversation with your statistician

Before you build, agree with the statistician which variables the analysis needs, in what form and with which missing-data codes. Export a test dataset from the sandbox and have them read it. Capture exports CSV and Excel in wide format with an automatic data dictionary, raw and decoded files, date-range and site filters, and CDISC SDTM datasets as SAS XPT with Define-XML. This is the cheapest rehearsal you will have. See EDC for biostatisticians and SAS programmers.

Working with others

Using a CRO, a statistician or an investigator without losing control

Not every startup runs the database itself, and Capture does not claim to replace a CRO. What it offers a scientist is a study that lives in a system you can open, with role-based access so each partner sees what they need: site coordinators see participant names, researchers see coded IDs, blinded roles never receive treatment-arm values, and an unblinded administrator role owns the allocation list. The audit trail records who changed what, when, from which value to which value and why, so a hand-over is a record rather than an email. Your data can be exported at any time; see clinical trial data ownership and portability.

For a first study the pattern that works is usually small: one or a few sites, a protocol with a modest schedule, an experienced medical monitor and a statistician engaged early. Clinical trial software for biotech founders covers the company-level view and software for clinical data managers the people who will clean your data. If you are doing a first-in-human or early dose-escalation trial, see EDC for early-stage clinical trials. If the question is whether your company needs a quality role yet, clinical trial software for quality assurance is a good read, and for regulatory affairs explains what the submission team will ask of the data.

On compliance, Capture is ISO 27001 certified, 21 CFR Part 11 compliant, GDPR compliant, HIPAA compliant and ICH GCP E6(R3) compliant, with EU and US data hosting. Validated use of any system remains a shared responsibility between vendor and sponsor, so keep your own validation records and decisions on file. Do not treat a software page as a substitute for your regulatory strategy. Sites and sponsors that need documentation for inspection can use the audit trail export for inspectors.

First four weeks

A practical sequence for a scientist building a first study

  1. 1

    Week 1: map endpoints

List each primary, key secondary and safety measure with unit, timing and who collects it. Mark what is derived.

  2. 2

Week 1: draft with the AI builder

Upload the protocol draft and review the proposed visits and forms. Fix the schedule before polishing any form.

  3. 3

    Week 2: add plausibility rules

Write edit checks for the values you would be embarrassed to see in a database lock listing.

  4. 4

    Week 2: set roles

Decide who is blinded, who sees names, who can approve forms.

  5. 5

Week 3: test with fake participants

Enter a completer, a dropout, an out-of-window visit and a serious adverse event, then export.

  6. 6

Week 4: review with your statistician and CRO

Use the export and the blank eCRF PDF as the review pack. Decide on go-live and ethics submission.

FAQ

Questions teams ask before they switch

Something not covered here? Ask us directly.

Do I need a programmer to build the study?

No code is required. Forms, skip logic, edit checks and calculated fields are configured in the builder, and the AI study builder drafts visits and forms from a protocol for you to review.

Can I use Capture together with a CRO?

Yes. Roles and the exportable audit trail let partners work in the same study with the access they need. Capture does not replace a CRO or claim any CRO integration.

How does AI drafting work and who checks it?

It reads a protocol (PDF, DOCX or DOC) and drafts the visit schedule and forms. Nothing is saved until a person reviews it, and it works only on draft forms.

Can I run Phase 1 through Phase 3 in it?

Yes. Capture is suitable for Phase 1, 2 and 3 studies, from first-in-human to pivotal.

What compliance does it carry?

ISO 27001 certified, 21 CFR Part 11 compliant, GDPR compliant, HIPAA compliant, ICH GCP E6(R3) compliant, with EU and US data hosting. Validation of your own use is a shared responsibility.

Can my statistician get SDTM datasets?

Yes. Capture exports CDISC SDTM as SAS XPT files with Define-XML, alongside CSV and Excel with an automatic data dictionary.

How much does it cost?

The sandbox is free with nearly every feature, no credit card. You pay only when you go live with real participants. Plans and prices are on the pricing page.
