Clinical trial software for studies across the Nordics

Denmark, Sweden, Norway, Finland and Iceland share the EU trial regulation and the GDPR, yet each keeps its own agency and ethics route. Capture is a self-serve EDC hosted in Frankfurt that a Nordic team can build and test free.

Key points for a multi-country Nordic study

  • The five Nordic states are not one jurisdiction. Denmark, Sweden and Finland are EU members. Norway and Iceland are in the EEA and take part in the EU system, with Icelandic sources confirming the EEA-wide CTIS route went live on 31 January 2022.
  • Each country has its own medicines agency and its own ethics review body. A single CTIS dossier carries the application, but the national part is assessed country by country.
  • The joint model can stall on one country. Oslo University Hospital reported that its EU-SolidAct application was formally rejected in CTIS because ethics approval was still pending in one country. Build the ethics timeline per country.
  • Personal data falls under the GDPR throughout. Hosting in Frankfurt keeps storage in the EU, but processor agreements and any non-EU access still need your data protection officer.
  • Capture has no Nordic office, partner or data centre, and is not described as approved by any Nordic authority. Language support is not claimed on this page.

Regulation

One portal, five national parts

Medicinal product trials in the region are filed through CTIS. A reporting member state leads the shared scientific assessment, and each concerned country assesses its national and ethical items. For the EU procedure itself, read our EU CTIS submission guide and EU CTR clinical trial software. For the Nordic picture the practical point is that the dossier is common while consent wording, site suitability and ethics timing are national.

Capture supports the dossier from the data side. It produces a blank eCRF PDF with a cover page, form index, visit-by-form matrix and every approved form printed empty, and each field change is recorded with a timestamp, the user, the old and new value and the reason. The record cannot be changed through the interface. See audit trail software for clinical trials.

Why a regional page, not a country page

Denmark and Sweden have their own guides: Denmark and Sweden. This page does not repeat them. It covers what is common, and points out where Norway, Finland and Iceland differ so that a sponsor planning a multi-country Nordic study sees the whole map.

Data protection

GDPR across EU and EEA, and what hosting settles

The GDPR applies in all five countries, in the EEA through incorporation, and each has its own supervisory authority and national health-data and biobank rules on top. Capture hosts in the EU (Frankfurt) and the USA (N. Virginia). For a Nordic study the Frankfurt region keeps storage inside the EU. Whether access by a CRO, monitor or analyst outside the EU and EEA counts as a transfer is a question for your data protection officer.

In Capture, site coordinators see participant names while researchers see coded IDs, and row-level security enforces that at the database. Data is encrypted with AES-256 at rest and TLS in transit. Read GDPR compliant clinical trial software and the EU-US data privacy framework note for what a processor agreement should cover.

Set-up

A build sequence for a Nordic multi-country study

  1. 1

    Upload the protocol

The AI study builder drafts visits and forms. Your team reviews every one before it is saved.

  2. 2

    Add one site per country

Use site-level participant numbering so Danish, Swedish, Norwegian, Finnish and Icelandic data stay separable.

  3. 3

    Add checks and roles

Edit checks raise auto-queries; site coordinators and researchers see different identity data.

  4. 4

    Test in the sandbox

Enter sample participants, test e-signatures and the audit trail, and send the blank eCRF PDF to each ethics body.

  5. 5

    Go live country by country

Activate sites as each national approval arrives. Filter and export by site at any time.

FAQ

Questions teams ask before they switch

Something not covered here? Ask us directly.

Is there one approval for all Nordic countries?

There is one CTIS application for a medicinal product trial, but each country assesses its national part and has its own ethics route. Plan separate timelines and confirm each with the national authority.

Are Norway and Iceland covered by the EU trial regulation?

Both are in the EEA and take part in the EU system. Icelandic sources say the EEA-wide CTIS route went live on 31 January 2022. Confirm the mechanics for your study with the Norwegian and Icelandic agencies.

Does Capture host data in the Nordics?

No. Capture is hosted in the EU (Frankfurt) and the USA (N. Virginia). Capture has no Nordic data centre or office.

Is Capture approved by a Nordic medicines agency?

No regulator approves EDC software in that way. Capture provides an audit trail, e-signatures and role-based access, and your validated use is what an inspector looks at.

Can I run Nordic-language consent and diaries in Capture?

This page does not claim multilingual participant materials. Contact us about current language support before you commit to local-language screens.

Where are the Denmark and Sweden guides?

They are separate pages: clinical trial software for Denmark and for Sweden. This regional page links both and adds Norway, Finland and Iceland in the country table.

Can I test before paying?

Yes. The free sandbox has every feature, with no credit card and no time limit. You pay only when you go live with real participants.
