Clinical trial software for San Francisco Bay Area biotech

The Bay Area is where a ten-person biotech can have good science, lab space and investors before it has a data management function. Capture gives that team an EDC, ePRO and eConsent system it can build itself and have ready for the first Phase 1 site, with no enterprise EDC contract.

  • First-in-human ready build
  • Hosted in the USA (N. Virginia)
  • No enterprise sales cycle

What the Bay Area biotech context changes

  • A dense, fast-moving cluster: South San Francisco, Emeryville, the peninsula and the South Bay host a large share of US early-stage therapeutic companies, alongside academic centres such as UCSF and Stanford that supply investigators and sites.
  • Small teams, big programmes: many companies reach Phase 1 with a handful of clinical staff and outsource heavily. A self-serve EDC fits that shape; a six-month vendor build does not.
  • Hosting that suits a US IND: study data can be hosted in the USA (N. Virginia), with an EU (Frankfurt) option for sites or partners in Europe.
  • One system: eCRF, ePRO diaries and eConsent share a single audit trail, so you avoid stitching vendors together before you have a data manager.
  • You keep the regulatory work: IND strategy, IRB review and monitoring remain yours or your CRO’s. Capture is the data system, not a regulator-approved service.

The ecosystem

Why Bay Area biotech starts lean, and where that bites

The Bay Area’s strength is the density of people and capital. South San Francisco describes itself as one of the largest biotech clusters in the world, and the surrounding cities add university spin-outs from UCSF, Stanford and Berkeley, tools and diagnostics companies and venture investors who fund a programme in stages. The result is a common pattern: a company with a strong asset, a modest clinical team and a milestone that requires a clinical dataset within a year. Clinical operations is often one head of clinical development, a clinical project manager and an outside CRO or consultant.

In that setting, the EDC decision is rarely a long evaluation. It is made by whoever has to deliver the first study, usually with a protocol that is still being revised and a site that wants forms to review. What matters is time to a working study and the ability to change it. A free sandbox, an AI draft of visits and forms from the protocol, and approved forms that lock for live use mean the build can follow the protocol rather than trail it. For first-in-human work specifically, see EDC for first-in-human studies, EDC for Phase 1 trials and best EDC systems for Phase 1 trials.

The risk is the opposite of slowness: a lean team that moves fast can forget governance. Decide early who approves form changes, who sees unblinded data if the study is blinded, and how safety information flows to the sponsor medical monitor. Role-based access, blinded roles enforced at the database layer and a field-level audit trail handle the mechanics; the decisions are yours.

The first study

Cohort-based Phase 1 data without a data management department

A dose-escalation study produces a steady drip of safety data: vital signs, ECGs, laboratory values and adverse events at tight time points. Capture lets the team build those forms from templates, add edit checks and calculated fields (QTcF, BMI, eGFR and others), and see queries as they arise.

  • Templates for demographics, vital signs, ECG, laboratory, adverse events and concomitant medications.
  • Calculated fields shown read-only during entry, with an audit trail on every change.
  • Randomization and blinded roles inside the same platform when the study design needs them.
  • Exports with a data dictionary, and SDTM datasets as SAS XPT with Define-XML for the biostatistician.

Regulatory and ethics context

US review layers, plus California on top

A US-sponsored drug or biologic study typically runs under an IND with FDA, with ethics review by an institutional or commercial IRB, and the data system sits under the sponsor’s 21 CFR Part 11 responsibilities. Capture provides Part 11-aligned controls (audit trail, e-signatures, access control), but validated use is a shared responsibility and your quality documents carry that. For academic sponsors see the FDA IND application guide for academics, which is also useful for a spin-out’s first filing.

California adds its own state-level privacy and health-information rules on top of HIPAA at clinical sites. How those apply to research data, including the treatment of data collected in clinical trials, is a question for your counsel and privacy officer, and the same is true for any company that also enrols participants in Europe, where GDPR applies. Capture’s infrastructure is described as HIPAA-ready and GDPR-ready; read HIPAA vs GDPR for clinical trial data before you decide where data should live.

If the programme is a cell or gene therapy, a stem-cell funding programme such as California’s CIRM may be part of the picture, with its own reporting expectations. Check the current terms with the funder; the cell and gene therapy EDC page covers the data structure those studies need.

FAQ

Questions teams ask before they switch

Something not covered here? Ask us directly.

Do you have an office in the Bay Area?

No. Capture is self-serve and remote, with email support, documentation and video tutorials. You can book a demo online.

Can a small team run a first-in-human study on it?

Yes. Teams build forms from templates and an AI draft, test them in the sandbox and go live when ready. Regulatory strategy, IRB review and monitoring remain with you or your CRO.

Where is the data hosted?

In the USA (N. Virginia) or the EU (Frankfurt), chosen at study setup, encrypted at rest and in transit.

Is it 21 CFR Part 11 compliant?

Capture provides 21 CFR Part 11-aligned controls such as a field-level audit trail, e-signatures and role-based access. Validated use is shared with the sponsor. This is not legal advice.

Can investors or partners review the data trail?

The audit trail is append-only, hash-chained and exportable, so you can show how data changed. Which documents you share in diligence is your decision.

What does it cost?

The sandbox is free and paid plans apply when you go live. See the pricing page.
