Why it matters

What reviewers read into your EDC line

A grant reviewer reads the data management line as a proxy for how seriously the team has planned. A trial with no data capture budget invites the question of where the data will live. A trial that budgets a large round sum with no explanation invites a different one. The strongest applications show a specific system, the work needed to configure it, the people who run it, and the controls that protect the data.

    Define the data you will collect

    List the forms, visits and participants. This is the basis of any build estimate and of the data management plan reviewers will read next to the budget.

Timing

Cost timing: budget the live period, not the grant period

Grants run for years, but an EDC is only needed from first enrolment until database lock and close-out. Budgeting the full grant duration overstates the cost and wastes allowance. Estimate months live as enrolment months plus follow-up months, the same figure the 100-patient cost worksheet uses.

The risk in the other direction is underestimating amendments. Tufts CSDD found that 57% of protocols have at least one substantial amendment. Common mistakes

Four EDC budget mistakes reviewers notice

The first is budgeting software but not people. A system does not clean its own data: someone raises and closes queries, reviews edit-check output, produces exports and prepares the database for lock. If the proposal lists a platform and no data management effort, a reviewer may assume the work is unfunded or will land on the investigator.

The second is a vague timeline. State when forms will be built, when testing finishes and when the first participant is enrolled. The third is ignoring the sites. Training, access set-up and support for each site take staff time even when software has no per-site fee. The fourth is promising controls you have not planned for.
