Where to find it
Participant page > Enroll subject or Screen fail
Before you start
- You are site staff with data-entry rights: Principal Investigator, Sub-Investigator or Study Coordinator. Sponsor-side roles, including the Study Owner, are read-only for clinical data.
Enroll a participant
Open the participant from the Casebook.
Click Enroll subject. In randomized studies it reads Enroll & randomize.
Tick each required criterion, such as signed ICF on file, screening assessments completed and inclusion/exclusion met.
Criteria backed by data show Met or Not Met and tick themselves when met. A criterion that is not met cannot be ticked.
Add notes if useful and click Confirm Enrollment.
The badge changes to Enrolled. In randomized studies the randomization review opens next.
Record a screen failure
On the participant page, click Screen fail.
Choose the Reason, for example did not meet inclusion criteria, and add details (required for Other).
Click Continue to Signature, type your password and click Sign and Record Screen Failure.
The badge changes to Screen Failed. Only the screening visit stays open; adverse event and medication logs stay available.
Rescreen a participant
In the Casebook, click Add Subject and choose Rescreen Subject.
Enter the Previous Screening Number and check the status shown.
Choose why the previous screening failed and click Continue.
Enter the participant details, review, and click Confirm & Assign Screening Number.
The new record shows "Rescreen of" the old number, and the old one is closed as Screen Failed (Rescreened).

Questions
Can a screen failure be undone?
Not by the site. It is recorded with your signature and a server timestamp in the audit trail. If it was recorded in error, contact your study manager.
