Withdraw a participant or record end of treatment
On the participant page, click Withdraw, choose the withdrawal type, say who asked and why, and click Confirm Withdrawal. All open tasks stop and existing data is kept. To record that study treatment ended but follow-up continues, use End of Treatment instead.
Where to find it
Participant page > Withdraw or End of Treatment
Before you start
- You are site staff with data-entry rights: Principal Investigator, Sub-Investigator or Study Coordinator. Sponsor-side roles, including the Study Owner, are read-only for clinical data.
Withdraw a participant
On the participant page, click Withdraw.
Choose the Withdrawal Type.
Withdraw from activities only: no more visits or tasks; existing data is kept for analysis. Withdraw with data deletion request: the participant asks for erasure, which needs an investigator signature and a 72-hour hold.
Click Continue, choose Who asked for this? and write the Reason for Withdrawal.
Check the summary and click Confirm Withdrawal.
- The status changes to Withdrawn, any open portal sessions end, and pending tasks are cancelled.
- Remaining visits show "Not applicable - withdrawn"; survey and portal links stop working.
- All data entered so far stays in the study and the audit trail.
Data deletion requests
For a deletion request, the participant page shows Withdrawal Pending PI Approval. The investigator clicks Approve & Sign and signs; a 72-hour cooling-off period starts. After it, Execute Purge removes the participant's responses; the audit trail is kept. During the 72 hours, Cancel Withdrawal (with a reason) restores the participant. If all their data is already locked, the withdrawal is recorded as activity-only.
Record end of treatment
On an enrolled participant's page, click End of Treatment.
Set the End of treatment date (today by default) and choose the Reason, for example treatment completed per protocol or adverse event.
Click Continue to Signature and sign.
The badge shows "Treatment ended" with the date, study drug dispensing stops, and the end of treatment form opens if your study has one.
Questions
Can a withdrawal be undone?
An activity-only withdrawal cannot be undone from the screen. A data deletion request can be cancelled within its 72-hour hold.
What does the participant see after withdrawal?
Their portal sessions end and their links stop working. They get no new surveys or reminders.
