Set visit windows and what happens when a visit is missed

In Edit Event, set the Completion Window (days before and after the target day) and, under Advanced Settings, the Window Enforcement. The If this visit has no date settings decide how later visits are timed when a visit is late or missed.

Where to find it

Schedule > visit > Edit Event

Before you start

  • You can edit the schedule: Study Owner, Study Manager or Administrator. Everyone else sees a Read-only badge.

Set the window

  1. Click the visit's day cell to open Edit Event.

  2. Under Completion Window, set Days Before and Days After the target day, or switch on Not applicable.

  3. Under Advanced Settings, choose the Window Enforcement: Soft Window, Hard Window, Warning Only or Auto-Close.

  4. Save the event.

The study-wide screening window (28 days by default) is in Schedule Settings (the sliders icon). Study managers can also ask for overdue and out-of-window badges, and an automatic query for out-of-window entries, in Settings > Notifications > Staff alerts.

When a visit has no date

  • Late window: extra days after the window before the visit counts as missed.
  • Visits timed from this one: use its planned date once its window has closed, or wait for the late window and count from its last day.
  • Stop the schedule if this visit is missed: cancels every visit timed from it, and the coordinator gets a task.

Visit prerequisites

In Advanced Settings > Visit prerequisites, click Add prerequisite and choose a questionnaire or visit that must be completed first, with optional reminder text. The coordinator sees a reminder when it is not met; it never blocks data entry.
