Set up automatic emails and email templates
In Settings > Notifications > Email templates, use Participant Emails to add an automatic email for an event (consent signed, randomized, before a visit and more), Built-in emails to switch standard emails off, and Email library to write your own templates.
Where to find it
Settings > Notifications > Email templates
Before you start
- You can manage study settings: Study Owner, Study Manager or Administrator.
Add an automatic email
Under Participant Emails, click Add an automatic email for... and choose the event: consent signed, patient screened, patient randomised, before a visit, visit completed or visit not finished.
Choose the visit and timing, for example days before the visit opens, and When to send.
Choose the email template, the same for everyone or different per arm.
Different emails per arm can reveal the arm to the participant; use this only in open-label studies.
Switch the email on.
An event email is never sent twice to the same participant, and events from before you switched it on are not emailed. Participants who switched off email notifications do not get these emails.
Built-in emails and your own wording
- Built-in emails: preview each one and switch optional ones off, such as the welcome / portal link after consent, the signed consent copy and "new tasks available". Sign-in links and enrollment invitations are always sent.
- Invitation and sign-in emails: switch on Own wording to write the subject and text, using {first_name}, {study_name} and {link}.
- Email library: click Create Template to write reusable emails with variables, and use them in automatic emails.
Under Email settings > Sender address, you can set the From name and From address. A custom domain must be set up for sending first, otherwise emails fail; sign-in emails always come from noreply@capture.study.
