Set survey invitation and reminder emails

Open Settings > Notifications > Email templates > Participant survey emails. Keep the built-in timing (when a survey opens, a day later and a day before it closes) or switch on Own timing, and edit the wording of each email. Quiet hours are set under Email settings.

Where to find it

Settings > Notifications > Email templates > Participant survey emails

Before you start

  • You can manage study settings: Study Owner, Study Manager or Administrator.

Choose when emails go out

  1. Open Settings > Notifications > Email templates and find Participant survey emails.

  2. Under When the emails go out, keep the built-in timing or switch on Own timing and set the Days after the survey opened for each email.

Built-in: when the survey opens, a day later (for windows over 2 days) and a day before it closes.

  3. For each email (invitation, first and second reminder, last chance), switch it on or off and edit the Subject and Body. Use Preview (example) to check it.

  4. Click Save on each email you change.

Below, choose Which emails each visit gets, and add Different wording for a visit or an arm if needed. Placeholders such as {first_name}, {survey_name}, {deadline} and {survey_link} fill in automatically; {calendar_link} lets participants add the survey to their calendar.

How sending works

  • Emails go out in rounds every 15 minutes. One email per visit and step, however many surveys the visit has, and reminders stop once the survey is submitted.
  • Each participant gets at most 3 emails and 3 texts in any 24 hours; extra ones wait for the next round. Last-chance emails are exempt.
  • Every email is checked again just before sending: the study is live, the participant is active, the survey is still open and their email notifications are on.
  • Messages that could not be delivered within 48 hours of their planned time are dropped rather than sent late.

Quiet hours

In Email settings > Quiet Hours, set a start and end time and a time zone. Reminders and texts are held during quiet hours and sent afterwards; a participant's own quiet hours and time zone take priority. Emails caused by the participant's own action, consent copies and sign-in links are never held.

Questions

Why did a participant get no reminder?

Check the email log: it shows each email as sent, waiting, failed or retired, with the reason, such as email notifications switched off or the survey already submitted.
