Invite a participant to the portal

Open the participant, find the Portal Access card and click Send invitation. Give a short reason and click Send link. The participant gets an email with a sign-in link that works once, for 24 hours. Add or fix their email first with Edit or Invite to Portal.

ForInvestigatorsSite coordinators & staffUpdated

Where to find it

Participant page > Tasks > Portal Access

Before you start

  • You are site staff (or another role allowed to see participant contact details).
  • The participant has questionnaires or consent forms to complete. The card appears only then.

Send the invitation

  1. Open the participant from the Casebook and find Portal Access in the right-hand column.

  2. No email on file? Click Invite to Portal, enter the Email (and Phone) and click Save.

  3. Click Send invitation.

  4. Check the recipient, write a Reason (at least 5 characters, kept in the audit trail) and click Send link.

You see "Access link sent". The card shows Invited and the button becomes Resend link.

When you add a participant with an email, Send portal access email now sends the same invitation straight away. Participants who sign up through a study sign-up link get it after signing consent, unless the study has switched that email off.

Change the email or phone number

Click Edit on the Portal Access card, change the Email or Phone, tick whether the participant agreed to text reminders, and click Save. After randomization, an email change needs a reason. Changing the email cancels every link sent before, so send a fresh invitation afterwards.

Questions
