Correct data you already submitted

Open the submitted form, click Edit, change the values and click Save Changes. Choose a reason (for example Transcription error) and confirm. In a live study you also give a reason and your electronic signature. The old and new values are kept in the audit trail.

Where to find it

Submitted form > Edit

Before you start

  • You are site staff with data-entry rights: Principal Investigator, Sub-Investigator or Study Coordinator.
  • The form is not locked.

Make the correction

  1. Open the submitted form and click Edit.

A banner says you are editing a submitted form and a reason will be required.

  2. Change the values. Cancel restores the originals.

  3. Click Save Changes.

  4. In Change Reason, choose Date entry error, Transcription error, Updated/amended source or Other (and describe it), then click Save Changes.

  5. In a live study, Reason for change and signature opens: pick a reason, explain it in at least 10 characters, type your password and click Sign and continue.

The meaning is "Approved data correction". Further corrections are allowed for 15 minutes without signing again.

  • Every changed field gets its own audit entry with the old value, new value, reason and your name.
  • If a changed field was source-verified, its verification is removed so the monitor can check it again.
  • Changing a value already saved in a draft asks for a reason too; first entries never do.

If there is no Edit button

The form is locked, it is a participant questionnaire (ePRO answers are never edited by staff), or your role is read-only. See why a form is locked. If a monitor asked for the change through a query, you can also use Correct value in the query (answer a query).
