Enter visit data in an eCRF
In the Casebook, click the participant's visit cell and click Enter on a form. Fill in the fields, then click Submit, or Save and finish later to keep a draft. Start with the Subject Visit form, which records that the visit happened and its date.
Where to find it
Casebook > visit cell > Forms > Enter
Before you start
- You are site staff with data-entry rights: Principal Investigator, Sub-Investigator or Study Coordinator.
- The form is approved. Until then it shows "Form not approved".
Enter the data
Open the Casebook and click the participant's visit cell.
The visit panel lists the site forms, participant questionnaires and consent forms for that visit.
Start with the Subject Visit form: answer Did this visit occur? and enter the visit date (record a visit date).
Click Enter on the next form (or Continue on a draft).
Fill in the fields. Required fields have a red asterisk, and the bar at the bottom counts what is still missing.
Click Submit.
You see "Data Submitted". If the visit has more forms, Next takes you to the next one.
Not finished? Click Save and finish later. Required fields are not enforced in a draft, but date errors are. The Casebook cell turns amber until the form is submitted.
What Capture checks when you submit
- Required fields, number formats and limits, and text length.
- Date rules, such as an end date before a start date or a date in the future (dates and date warnings).
- Out-of-range lab results need a clinical significance assessment (lab results).
- Values outside the study's expected ranges raise automatic queries; the value is still saved.
Calculated fields (such as BMI) fill in automatically and are read-only. Questions hidden by skip logic have their answers cleared. Use Unknown, N/A or partial dates where the form offers them.
Unsaved answers are kept on your device
Answers you typed are kept in your browser until the save is confirmed. If you are signed out or lose the connection, the form shows "Restored unsaved answers from this device. They are not saved yet." Check them and save; or click Discard.
Questions
Why can I only view the form?
Only site data-entry roles enter data, and only on approved, unlocked forms. See why a form is locked.
How do I change a value after submitting?
