Answer a query or correct a value

Open the query from the query bell or the participant's visit, then either click Respond to reply, or Correct value to change the data and give a reason. The query moves to Answered and goes back to the person who raised it.

Where to find it

Query bell at the top > View All Queries, or Casebook > visit > Queries tab

Before you start

  • The query is Open. For site staff, you are assigned to the participant's site.

Find your queries

  • Click the query bell at the top of the screen. It lists Queries Requiring Action for your sites; click one, or View All Queries.
  • In the Casebook, a red Q badge on a visit shows open queries. Click the visit and open the Queries tab.
  • On a form, a red speech bubble next to a field marks an open query.

Reply to the query

  1. Open the query.

The panel shows the question, the form, the participant and the value, with the original and current value.

  2. Click Respond.

  3. Type your reply under Your response, for example that the value was checked against the source and is correct.

  4. Click Submit response.

You see "Query answered". The status changes to Answered and the person who raised it is notified.

Correct the value

  1. In the query panel, click Correct value.

Only site data-entry roles see it: Principal Investigator, Sub-Investigator and Study Coordinator.

  2. Type the new value in Corrected value.

  3. Explain the change in Reason for correction, for example "Transcription error, source shows 120".

  4. Click Save correction.

You see "Value corrected". The change and your reason go to the audit trail, and the query moves to Answered.

If you do not see Respond

  • You raised the query yourself: someone else must answer it.
  • The query is already Answered or Closed.
  • You are not assigned to the participant's site. Ask your study manager.
  • "The field is locked. No data was changed.": the data manager has locked the field. Reply with Respond and ask them to unlock it if a correction is needed.
