Assign team tasks and discuss records

With CRO collaboration switched on, create tasks in CTMS > Tasks (or from a participant's Team tasks card), and click the speech bubble next to a visit, form or field to start a discussion and @mention a teammate.

Where to find it

CTMS > Tasks, or the bell at the top of the screen

Before you start

Create a task

  1. Open CTMS > Tasks and click New task, or open a participant and click New on the Team tasks card.

  2. Fill Title and Description.

  3. Pick an Assignee, or Unassigned (team queue), and set the Organisation and Priority.

  4. Set a Due date if needed and link the task to a participant, visit or form under Linked record.

  5. Click Create task.

The task appears in the assignee's bell. Tasks do not send emails.

Work on a task

  • Click a task to open it, then Start, Mark done or Reopen it.
  • To cancel, click Cancel task and give the reason. Cancelled tasks stay in the list and the audit trail; nothing is deleted.
  • Use the filters (assignee, organisation, status, due date, participant) and the My tasks, Team and All tabs to find work.

Start a discussion and @mention someone

  1. Click the speech bubble next to a visit, form or field, or click Comment on a participant's Discussions card.

  2. Type your comment. Type @ and pick a teammate to mention them.

  3. Click Post.

Mentioned people get a notification in the bell and an email with a sign-in link. The email never contains the comment itself.

Reply with Reply, or click Resolve (with an optional outcome) when the question is settled. Only the author can edit a comment, and every earlier version is kept.

Questions

Why can I not mention a colleague?

You can only mention people who can see that participant, for example staff at the participant's site or study-level roles.

Where do I see tasks and comments that mention me?

Click the bell at the top of the screen: it lists "Mentioned you" and "My tasks". The Discussions tab on the Tasks page lists open discussions that mention you.
