Record kit returns, accountability and reconciliation

Site staff record returned kits and count used, unused and lost units in Inventory > Accountability & Reconciliation; the CRA or depot then reconciles them. Each step is signed with your password.

Where to find it

Inventory > Accountability & Reconciliation

Before you start

Receive a kit back from a participant

  1. In the inventory list, click the custody badge of a kit marked With patient and choose Receive return.

  2. Choose what you found on inspection: Returned - unused, Returned - used or Mark unusable (with a reason).

  3. Enter your password and confirm.

Custody becomes Returned (site). The next steps are CRA reconciliation, return to sponsor and sponsor confirmation.

Record accountability or reconciliation

  1. Open Inventory > Accountability & Reconciliation.

The badge shows what you can do: site staff accountability, CRA reconciliation, or view only.

  2. Click Open accountability log (site staff) or Open reconciliation log (CRA, depot or trial manager).

  3. Scan or type a kit number and press Enter or click Add kit.

  4. Enter the returned or unused, used and lost units. Add a reason if you are amending a count.

  5. Enter your password and click Sign & confirm.

Quarantine a kit or mark it unusable

Click the kit's lifecycle badge and choose Quarantine or Mark unusable. Pick a reason category (for example temperature excursion or broken seal), describe it in at least 10 characters, enter your password and sign. Reversing an unusable kit needs two signatures: the requester and a second eligible person.
