The wedge
It is easy to see why a small team starts a study tracker in Notion. It is quick to set up, everyone already has it, a database view looks like a spreadsheet, and forms can feed a table. For planning, timelines, regulatory document trackers and standard operating procedures, it is a pleasant tool. The trouble starts when the same tool becomes the place where participant values are typed and relied on.
At that point the questions are the ones an ethics committee, a sponsor or an inspector asks: who entered this value, who changed it and why, who could see participant names, was the form the same for every participant, and how do you know this is the version that was analysed. Those are data integrity questions, summarised by the ALCOA+ principles, and a workspace database is not built to answer them. Edits are typed freely, a property can be renamed or retyped mid-study, and nothing forces a correction or records a query and its resolution.
An EDC answers them by design. Capture records every change at field level with user, time, old value, new value and reason, keeps the audit trail exportable and does not let it be edited from the interface. Part 11 compliance is a shared responsibility between the software and the sponsor's own validated use of it, whichever system you pick.
Nothing says you must leave Notion. A common split is to keep protocol drafts, meeting notes, training material and task boards in a workspace tool, while participant data, consent and questionnaires live in the study system. The data stay in one controlled place, and the workspace links to it rather than copying values. Compliance controls
Every change is written to an append-only, hash-chained audit trail with user, time, old and new value and reason. Electronic signatures require password re-authentication and carry a meaning statement. Roles separate sites, and identifying data is segregated from study data at the database layer.
