Change an approved form with a new version
Open the approved form and click Create New Version. Choose Minor (wording) or Major (structure), edit the new draft, then approve it and choose what happens to existing participants: keep them on the old version, move everyone, or move participants enrolled after a date.
Before you start
- Building the new version: form builders. Approving it and archiving old versions: the Study Owner.
Create the new version
Open the approved form and click Create New Version.
If a draft already exists, the button reads Edit vX.Y draft.
Choose Minor - wording / clarification (for example v1.0 to v1.1) or Major - structural change (v1.0 to v2.0).
Click Create draft.
The new draft copies the questions, sections, scoring, settings, OID and domain. The approved version keeps collecting data until the new one is approved.
Make your changes, then check any ranges and SDV choices on the new draft.
Approve it and choose who moves
Click Approve on the new draft, then Continue.
Under What happens to existing participants?, choose:
Keep existing participants on the previous version (recommended), Migrate all participants to this new version (minor versions only), or Cohort migration by enrollment date (needs a date and a justification of at least 20 characters).
Click Continue to Signature and sign.
- The study's schedule switches to the new version automatically.
- Submitted answers are never changed. Someone part-way through the old version finishes it first.
- Sites who had the old version open see "Not saved: this form has a newer version" and reload with their answers kept.
Retire an old version
Click the archive icon on the form card (or Archive in the editor), type the form name, add a reason, continue to the signature and click Sign and Archive. A version still on the schedule, or with unlocked data and no newer approved version, cannot be archived. Archived versions keep all their data.
